Technology Administrator

OPEN Health is looking for an enthusiastic administrator to join our IT Team as it goes through a major transformation migrating our technology services to a new third party provider.

This role will take on the responsibility of purchasing all IT equipment, managing a variety of software licence accounts, domain names and certificates, as well as working to define and implement the new process and procedures to manage all of these activities.

The IT Team is growing both in terms of responsibilities and resources, and if you can successfully deliver the expected results, this role could lead to further opportunities.

Key responsibilities

  • Equipment purchasing and tracking. Maintain an accurate record of all IT equipment:
    • Track all equipment orders through their purchase process (request, purchase approval, PO, delivery, assignment, invoice approval)
    • Accurate asset tagging records and tracking of equipment and it’s use.
    • Efficient utilisation of equipment
    • Refresh of obsolete equipment/devices
    • Appropriate disposal of equipment/devices as per defined process.
  • Licence tracking. This role will manage a variety of licences across the Open Health companies:
    • Keep an accurate record of licence usage to ensure efficient use of licences
    • Ensure timely and accurate payment of licence fees
  • Maintain an accurate record of web domain names and trusted security certificates to ensure the on-going secure operation of our client and Open Health web-services. This includes the timely renewal of certificates and ownership of domain names.
  • Work with colleagues in a variety of teams to consolidate new process and procedures, such as new starters and leavers, to achieve the goals of this role.
  • Ensure regular, periodic review of all licences and equipment to ensure the most effective and efficient utilisation of all IT equipment.
  • Review of monthly bills to monitor utilisation and highlight exceptions to IT Director in a timely manner.
  • Drafting and keeping up to date published process documentation to ensure business colleagues know the correct process and where to find the respective documentation.
  • Reviewing and updating when necessary all relevant procedures and policies
  • Following standard operating procedures and internal policies
  • Developing and maintaining good working relationship with clients and internal colleagues, serving as a technology ambassador to promote the Open Health’s high quality and ethical image
  • Performing any other duties as assigned to/by the IT Director as are deemed appropriate.
  • This role covers offices in Marlow and Holborn, as well as working closely with our technology provider based near Aldgate.

The demands of the role will dictate the working location accordingly and flexibility to work at different offices, as well as remotely, is a pre-requisite for this role.

  • Occasional flexible out of hours and weekend working may be required

Key attributes / skills / competencies
Required experience and qualifications:

  • Education: 5+ GCSE’s (A*-C), A Levels and/or BTEC.
  • Interest in creative & tech but technology qualification not pre-requisite.
  • Evidence of successful working relationships with third parties.
  • Good written & spoken English.
  • Experience of asset and licence management would be beneficial.
  • Experience of service management would be beneficial.

Essential skills:

  • Good interpersonal skills
  • High level of IT proficiency.
  • Evidence of previous experience working in small teams
